Mastering Google Sheets: Column Manipulation Techniques

This guide expands on basic Google Sheets operations, focusing on efficient data management through column manipulation. Learn how to move, hide, freeze, and merge columns to create powerful and organized spreadsheets.

Moving Columns

Relocating columns streamlines data analysis. For instance, prioritize key information by moving it to the beginning of your table, or group related columns together.

  1. Method 1 (Menu): Select the column. Navigate to Edit > Move column left or Move column right. Repeat as needed.
  2. Method 2 (Drag and Drop): Hover your cursor over the column header until it becomes a hand icon. Click and drag the column to its new position. A column outline will guide you.

Merging Columns

Merging columns enhances visual appeal and organization, particularly for headers or large data blocks. It's best to merge before entering data, as only the leftmost column's values are retained. For existing data, consider using a Merge Values add-on.

Select the columns to merge (e.g., A and B). Go to Format > Merge cells. Choose from:

  • Merge all: Combines all selected cells, keeping only the top-left cell's value.
  • Merge horizontally: Merges columns, retaining the leftmost column's values.
  • Merge vertically: Merges cells within each column, preserving the top value in each.

To undo merging, select Format > Merge cells > Unmerge. Note: Unmerging doesn't restore lost data.

Hiding Columns

Hide columns containing supporting data (e.g., calculation inputs) to declutter your view while preserving their functionality for formulas.

Select the column. Click the triangle next to the column letter and choose Hide column. Hidden columns are marked with small triangles. Clicking a triangle will unhide the column.

Freezing Columns

Freeze columns (typically the header row) to keep them visible while scrolling through large datasets.

  1. Method 1 (Menu): Select a cell within the column(s) to freeze. Go to View > Freeze and select the number of columns to freeze.
  2. Method 2 (Drag and Drop): Hover over the border between the column headers and the data area until the cursor becomes a hand icon. Drag the border to the right to freeze the columns to its left.

To unfreeze, go to View > Freeze > No columns.
